American School Bus Council Coordinator

Position Purpose:
The primary function of this contract role is to support the marketing and operational activities of the American School Bus Council (ASBC), and manage an upcoming project for 2012-2013/2014. This individual will oversee all ASBC activities, support council members in completion of tasks, and serve as a primary coordinator of all ASBC programs. This role reports jointly to the three association leads (NAPT, NSTA and NASDPTS) and the IC Bus council member. This is a project based role which will be filled by a contract individual or an agency.

Duties & Responsibilities:
• Manage the current ASBC project including guiding the event resource partner, communication and reporting of status with all ASBC members, working with local associations and agencies to ensure success of each event for the project (see below for more detail)
• Coordinate all ASBC communications, including: Regularly communicate status of projects to all ASBC members. Coordinate publication of ASBC newsletter. Maintain and update ASBC website.
• Coordinate sponsorships for ASBC projects — solicit partners as needed
• Oversee ASBC budget in conjunction with NSTA (National School Transportation Association)
• Oversee the work of service providers to ASBC
• Assist council members and vendors to complete assigned tasks in a timely manner
• Coordinate and attend all ASBC meetings; coordinate and lead weekly "3L"s calls
• Manage trade show participation for the ASBC
• Coordinate and participate in council activities, including subcommittees
• Maintain council documents, including minutes from ASBC meetings
• Coordinate and respond to industry requests as they pertain to ASBC activity

Basic Requirements:
• Bachelor’s degree or equivalent experience
• Project management experience
• School transportation industry experience

Desired Skills:
• Experience in the transportation or education industry is a must
• Effectively use all available resources including digital and social media
• Excellent written and verbal communication skills
• Acts with minimal direction
• Project management or related experience
• Proficient in Word, Excel, PowerPoint

• Positive attitude
• Initiative and self starter
• Organizational agility
• Creativity

Project Management Responsibilities:
1. Lead and manage the relationship with the event management company
   a. Execute contract and manage payables
   b. Manage scope of work and expenses
   c. Ensure execution
   d. Communication lead between event management company and ASBC
   e. Regular progress reports
2. Finalize and secure all event locations
3. Attend all events; onsite execution lead
4. Responsible for securing attendees: state directors, local school boards, local agency/associations, legislators, administrators, parents and students
5. Secure and assign individuals to required tasks on site
6. Responsible for communication with locations, partners and local agencies
7. Inform website and social media content, based on accomplishments and activities of the ASBC
8. Responsible for coordinating onsite location requirements such as food and beverage, rental equipment, audio, name badges, directional signs, etc.
9. Reporting on events and follow up

Salary: $55,000/year
